Board Meeting Minutes

April 7, 2008

Present: Andrew Zapanta, Lyle Henofer, Bess Tarkington, Bill Duxbury, Kristen Keller, Brian Keena, Pam Johnson, Jen Bauerle & Joan Esposita

The meeting was called to order. Minutes of the March meeting were approved. The treasurer reported a balance of $65,950.16. She noted a correction to a previous report: the 2007 W4MTP ended with a surplus of $3000. No race report has been received from the MJH8K. The Amnesty race paid $173.25 to the CTC.

The board discussed the Ten Miler race. The race generally went well and Dan and Alice Wiggins will attend the May meeting. A gift was presented to Lyle for his work. The board commented that board members need to be at every Ten Miler board meeting to provide assistance and make sure everything is on track. A timeline is needed as Dan and Alice are not asking for board assistance early enough. The board also needs to be looking for a future Ten Miler race director.

Brian reported that he has not heard back from local exercise programs or CLASS. Andrew contacted QCC; Mark set up a walking program for them. Andrew has requested information from Locomotion.

Lyle discussed equipment issues. Should the fee for rental of the chronomix be raised?  The current fee is $25. A qualified CTC person needs to be present when the chronomix is used. Lyle has also investigated other types of equipment for race scoring, the “time machine”. There have been recent problems with the chronomix. The time machine costs about $1000 and new software may be needed if it does not use Runscore. Also, the laptop needs to be replaced. In addition, volunteers will need to be trained to use this new equipment. Lyle will find out if there are other timing systems available and talk to people such as Dan & Alice, Scott Smith who use the chronomix. The board approved the purchase of one time machine provided that it works with Runscore.

Andrew presented financial summaries of CTC expenses and donations noting a 2007 net income of $12,000. Board members discussed membership ideas such as free events for CTC members,  members only events, or free registration for lifetime award winners.

The meeting was adjourned. The next meeting will be Monday May 5, 2008.
